Backorder options are not visible in Sales Quantity Shortage Options

In Sales Order Processing, while creating sales orders with shortage quantity (Quantity available is zero for entered item from the site id), there are certain things we need to follow in Dynamics GP.

If the entered line items has no available quantity, then the Sales Quantity Shortage Options window will pop up and force users to choose any one of option from the list. Below are the options available in the shortage list.

  • Sell Balance
  • Override Shortage
  • Back Order All
  • Back Order Balance
  • Cancel All
  • Cancel Balance
  • Distribute Shor

Suppose if the user wants to backorder the shortage quantity, users can choose either “Back Order All” or “Back Order Balance” options to achieve. But, these options will not appear by default. To enable these options to appear in Quantity Shortage Option window, follow below the steps.

1. Open Sales Order processing Setup window(Tools–>Setup–>Sales–>Sales Order Processing).

2. Click “Sales Document Setup” button and choose order.

3. In Sales Order Setup widow, choose your order id and mark the option “Transfer Order to Back Order”  then choose back order id in “Use Back Order ID” field.

4. Click Save.

5. Then create a new order in sales transaction entry window. In Quantity Shortage window you can see all the options.

Hope this helps!!!

    1. Khalid, I have just mentioned enabling the backorder options in quantity shortage window. Your are correct, If we want to transfer the sales inventory to back order then, we need to enable the allow back order option in item option window. Thanks for your update.
